Do you know that on an average you pay 2 times for half of the guests you have invited when you conduct one function?Having handled over 500+ banquet and party orders for the past 8 years, let me share some of the interesting things that happen behind the curtain or typically, the table cloth.I am going to explain through a real life example.Let's say, Ananya, a woman living in Chennai, wants to order food for celebrating her son Arjit's first birthday. It's going to be a joyous occasion since she is going to meet her grandparents after a long time. Thus she wants to make it perfect.Inside the customer's hatHer important needs are going to be:Food should be sufficient in quantity & excellent in quality. Running out of food is not an option she has since it's a definite sign of poor planning and stinginess.The price should be as low as possible. That is, the best price she could get for the quality.The things she has to decide:Number of expected guests for the party (pax)Hotel/Restaurant that is going to handle the entire party.The variety of dishes and delicacies.Now she goes and tries out various restaurants/hotels and inquires about their menu along with the price. Ananya finally reduces the list down to 3. Now is the point where the deciding variable budges in and it's a simple word called "REPUTATION" but a very powerful one. While talking to her grandfather, he casually mentions "this" was the same restaurant from which we ordered for your nephew's house warming function and it was very good. Using typical Normal distribution, he calculates for 25% children (below 15 years), 25% wisdom people (above 50 years), 50% adults (16-49 years).Out of the 15 items, children do not consume or consume negligibly the food they avoid and same for the wisdom people. Hence, technically 50% of the guests are going to consume only 7.5 items per plate. Hence the total quantity needed is 1125 items instead of 1500 items. The quantity is reduced by 25%.Chafing dishThis is not noticed by the customer because the "chafing dish" is filled only as each item gradually gets over and not a one time activity. Todi does take a risk by choosing to make only 1125 out of the 1500 dishes initially, but in practice the risk is reduced as he would observe the quantity of plates versus each item consumed in the first hour (or one third of the order time) and decides accordingly. This is where the "number of plates" factor comes in and decides the quantum of dishes to be prepared.Todi then makes a list of the amount of quantity needed for each dish and gives it to the chef for preparation.Tips for the customer who is ordering:Try to limit the number of sweet/delicacies to 3-5 since this is where the cost per plate gets multiplied and from experience I can tell you that the guests will not be able to enjoy beyond 5 desserts. Too much sweetness is not good.Always try to calculate the number of children likely to attend the party and take each child as 0.5 since I have seen that most children below the age of 10 eat from their parents' plate.Replacing items from a fixed menu is better than adding a completely new dish to a fixed menu.In case it's a function not taking place in the Banquet Hall and you have decided to order food from two different restaurants (A&B), do not order 2x the number of guests expected. Instead, classify them in three categories as shown above and then take a decision.Finally, take into account the cultural sensibilities of the guests that you have invited since it is the primary factor of what they eat and what they avoid.Within Banquets/Outdoor Catering:The most profitable type of orders for restaurants and the lowest pay-off for customers: Birthday parties.The least profitable for restaurants and highest pay-off for customers: Student symposiums, college functions and any party remotely related to students. Once we had to make more than 3000 Rotis (Indian bread type) for 750 students.Thus customers usually fail to discount the amount each guest consumes and this is where the caterer improves his margin.Tips related to Indian Buffet type menus. Wow , Today is my first Day at KIIT.And I am writing this at KP-7 ,10.34PM (2017)Today is so exhausting day after lot of collection of many things like bucket ,mug ,bedsheet, pillow, pillow cover , blazer ,tie , books( yeah slot of books with chartpaper and so many hell more things) .Start of the day :- From Hotel to the campus ,I was excited about kiit and my roommates.I reached as per respected time of my reporting day. I reached Auditorium Hall, there a guard was there to receive us and show us the way to put our luggage.We were sent to Banquet Hall there we put our luggage and take a cup of coffee followed by biscuits. We take some enquiry there and There was a counter of Social desk where we have to give our information ( name , phone number , email id ) and if you brought your phone and use Facebook they will ask to open your Facebook and give him the phone where they search ( they liked the Art of Living and Achyuta Samanta who is the founder of KIIT) .If you don't bring your mobile phone they will give you their laptop to login into your id to like the above two pagesWe took our important files like school leaving certificate or transfer certificate and character certificate and result too.( If you brought nothing don't worry , you can submit them later)Go to the Auditorium Hall and fill the hostel form and Admission form . They will give you your Roll number there on admission form . Fill it up and submit to the near guard . They took your form and submit to the stage .Then your Roll number reflect on Any counter ( counter 1 ,2 or 3 ) . Counter will be same as was in counseling day but the three were named in reporting day.Go with your documents take a fee receipt . They will give you paper with your Room number . And a I'd card too( if I'd card is not printed they will give you id card in paper receipt, Don't Worry)Go back to Banquet Hall and take you luggage with you with your ID card in your neck. The bus is waiting for you in front of Banquet Hall which will take you to KP-7 ( if boy ) QC-9 ( if girl ) generally.Go to your hostel . Thier you receive another cup of tea with biscuits. Go to your perspective block and give your biometric their of thumb and index finger three times to confirm . They ask your mobile number and father's mobile number . And yeah go to your Room.Now , when going to your alloted room you find every corner and every Gate same so you may confuse if you don't remember that where do you came from . First day will be very confusing even after 10 up to down. I also don't remember that which route is quickest to which place . I just remember that the near most Ladder take me direct to mess.( Suru k kuch din bus Khana aur Sona)Now Their are many place for different things . Today their was first floor for bucket, mug , bedsheet , pillow and cover ) (2017)B block ground floor for blazer and tie(2017)And underground place was for books and perspective things . Copy rate was 100 for 3 copies ( 100 pages if assume both side as one page)The long queue for this can exhaust you for you deep sleep.In afternoon you can go to mess after 1 pm and enjoy your meal and your parents can also get it freeRoom was awesome ( everything is like new except the table ) But that was fine .Yeah network is a problem here . Only Airtel Vodafone followed by idea work cool. Don't be happy if you're Jio users ( me ) ( well we made a network arena where Jio network was awesome but it is in corridor) .Yeah , check the routine board too , on the same day of reporting there happen a parent mentors meetings which I enjoyed a lot without my parent and yes my mentor tutor was awesome . ( Check mentors parent meeting time on notice board , which was near to the reception hall of your hostel).. we also enjoyed wandering here and there without much enquiry by the guards and wardens . First day was more than awesome we roam every palce in the hostel. But in the end can't remember my room . If I gone so far but the room name helps a lot to find our room .The dinner was tasty ( yeah queue was always a problem , be sure to come first in this case) .Yeah , I enjoyed my first day making more than 15 friends- 3 of my branch and other were roommates and neighbors roommatesEdit:- one pic but 3 or 4 friends are missing here too.
