For instance, I doubt the janitor has his own payroll folder with only his information inside of it. That is probably very different for high-earners, like the President or CEO, especially if we’re talking about a publicly traded corporation.Payroll reports, which are used to make periodic payroll deposits to the IRS/Treasury, to determine the company’s obligations vis-a-vis federal and state unemployment, worker’s compensation premiums, general liability and commercial auto insurance premiums, and potentially other things (like W-2’s at the end of the year), are bulky. You may have employee- or manager-provided handwritten timesheets, which are them formalized in some bookkeeping program, like QuickBooks, into timesheets that are printed out so the employee can sign them, when they come to pick up their paychecks, and then you will have the actual reports you print out for use in, well, reporting these figures to other people.On the other hand, an individual employee’s folder may contain nothing more than an application for employment, a W-4, and I-9, periodic drug and alcohol test results, and periodic performance valuation reports, or simple notes about raises, bonuses, and payroll advances, and who authorized them. His employee file (which happened to be an actual manilla folder with stuff in it) was subpoenaed by opposing counsel, and that subpoena meant to provide copies of it in its entirety. — Heck, I even copied the front of the folder and the back of it.Because whoever originally “kept up” employee files did not do a very good job of keeping up employee files, the contents of the folder were damning to our case. This file is not very big.Whether you are searching for room on your hard drive, or you keep these paper files in a file cabinet, you are not taking up much room. — Even if you were, you should make the room available.Payroll reports? The information contained within them, to within some measure of precision, is memorialized (redundantly) in other reports and returns, etc. — Yes, they do show up in the aggregate, and you do lose weekly timesheet reporting. But, you’re 7 years out by then!Good lord, most people don’t keep their W-2’s for that long. Heck, some don’t even come to pick them up (because they have not updated their current addresses since their departure from the company).—One more thing. — Sometimes employees do not come to pick up their final paychecks. Companies generally have a duty to escheat these monies to the state after statutory periods of time as unclaimed property.I usually put unclaimed paychecks in the employee file. If you just go to shredding employee files after some arbitrary length of time, you may destroy the record that you owe somebody some money. If memory serves, 7 years sounds very similar to the time, at least here in Texas, USA, when unclaimed property must be escheated.So, when they get out of prison in 8 years, you won’t know anything, and they will be flat broke, having been sitting in a prison cell, dreaming about their old job and their unclaimed paycheck, and then you have a real problem. With a felon. Over money.It would be improper bookkeeping to delete a paycheck like this, but that doesn’t mean some bookkeeper wouldn’t do it. And, depending on what software you use (or used to use), and how big your files are, and when they get compressed, and all of that good stuff, it may be very difficult for the average joe to look back 7 or 8 years to determine if the corporation owes you (e.g.) $22.31.This easily could require quite a bit of research, with the person who has the proverbial keys to that old information being someone much higher up in the organization than the front-line bookkeeper.As in my position, as CFO, I would have access to almost any imaginable financial record, but I’m not the “at-your-service” customer service rep. I may have been when you last saw me, but the likelihood it is possible I can stop what I’m doing to figure out your issue because you are low on gas is low. Just assume it to be low. — No offense.
